To ensure a smooth and efficient property sales process within the community, the Board has approved and implemented a standardized procedure for the handling of all resale documents via the PayHOA system. This process is designed to streamline communication between homeowners, title companies, realtors, attorneys, and closing agents while ensuring compliance with the Association’s governing documents.


Homeowners are required to direct their realtors, title companies, or closing agents to initiate all resale document requests through the designated platform at www.homewisedocs.com. Requests submitted outside of this system may result in processing delays.

Pursuant to the Bylaws, homeowners are responsible for ensuring that all financial obligations and architectural requirements of their unit are satisfied prior to the release of resale documents. Upon notification that a unit has been listed for sale, the Association will conduct an exterior inspection. Any deficiencies will be formally documented and remain tied to the unit until resolved ( see below).


Resale documents are a package of Association records required during a sale, including governing documents, financial information, and any outstanding balances tied to the unit.

 

They are required once a home goes under contract and must be provided during the closing process.

To ensure consistency, accuracy, and timely access, all resale documents should be obtained through the Association’s designated portal or website, where the most current available documents are maintained.

There is no cost to the HOA. Fees are typically:

  • Paid by buyer or seller at closing
  • Listed as closing costs

No. Due to the volume of requests and the time required to gather, organize, and distribute documents individually, resale documents are not typically sent by direct email request.

Questionnaires related to a pending sale, refinance, or lender request may be completed when reasonably necessary as part of the transaction process.

To allow for efficient handling and timely responses, the Board requests that any questionnaire be submitted in a fillable electronic format that can be typed directly on a computer and electronically signed. This helps reduce administrative delays, improves accuracy, and allows responses to be returned more efficiently.

Non-fillable, handwritten, or scanned forms that cannot be completed electronically may require additional processing time or may need to be resubmitted in an editable format.

The resale package generally includes documents commonly requested during a sale or refinance, such as:

  • Articles of Incorporation , 1985.
  • Association Bylaws , 1985.
  • Declaration / CC&Rs .
  • Rules and Regulations .
  • Insurance Declarations .
  • Current Annual Budget.
  • Financial Statements for the Previous Year .
  • Most Recent Annual Meeting Minutes .
  • Board Meeting Minutes for the Previous 12 Months.
  • Most Recent Monthly or Quarterly Financial Statements .
  • Reserve Study / Reserve Report ; if available.
  • Welcome Packet / Community Information.
  • Current Litigation Disclosures (if applicable)

Document Timing / Updates:

  • Meeting minutes are typically provided for the previous twelve (12) months.
  • Monthly or quarterly financials are the most recent available at the time of processing.
  • Budgets, insurance, disclosures, and other time-sensitive records are provided in their most current available form.
  • Documents are updated periodically, so contents may vary depending on the date the resale order is requested.

While it is not required to notify the Association that your unit is being listed for sale, doing so is appreciated and can help make the process smoother. Advance notice allows the Association to prepare any documents, disclosures, or reports that may be needed during the transaction.

No. The Association does not approve buyers or tenants. However, any person who purchases or rents within the community is required to comply with the Association’s governing documents, including the Bylaws, Rules, and Regulations.

For tenants, homeowners are required to provide the Association with a copy of the lease so that occupancy records remain current.

Yes. A $200 transfer fee is due at the time of closing.

Outstanding violations may delay the closing process. The Association may withhold documents or other pertinent information required for the sale if violations remain unresolved at the time of transfer.

Once the Association is made aware of a pending sale, an exterior inspection may be conducted. If non-compliant conditions are identified, violations may be issued so they can be corrected prior to closing

Yes. Sellers are responsible for maintaining their unit and any items assigned to the owner under the governing documents. Required repairs or corrections should be completed prior to transfer in order to avoid delays in the sale process.

Once the sale has closed and ownership records are updated, the unit account is transferred to the new owner through the Association portal by PayHOA accountants. The new owner will receive a notification with instructions to create their account ONCE PayHOA receives the closing documents.   You must maintain (your email and cell number ) on the portal or cover all cost for future mailing not to mention a non-registration fee ; see Uniform Fines Document.

To avoid delays, please ensure that all closing contact information, including name, email address, and phone number, is accurate so important notices can be received promptly.

Proper handling of resale documentation:

Selling:

  • All dues and balances must be paid in full, no exceptions. See PayHOA for balances.
  • Liens must be satisfied prior to release, no exceptions.
  • All homeowner-responsible damage MUST be repaired
  • Pool keys/fobs must be returned (fees apply if not)
  • Fees may apply for resale documentation
  • All architectural components must be in compliance, see “ violation below”.

Buying:

  • $200 transfer fee required at closing, invoiced on the unit , then credited.
  • Must register on PayHOA upon move-in
  • Set up dues payment immediately once you have access to the PayHOA portal.
  • Maintain updated mailing address.
  • Pet restrictions enforced (no pets over 30 lbs.)
  • A registration fee of one hundred dollars ($100) is required within fifteen (15) days and will be billed to the unit. This fee does not apply to verified service animals or emotional support animals. Proper and current documentation must be provided from a qualified healthcare professional or licensed provider, in accordance with applicable laws and Association requirements.
  • Submit Owner/Tenant Information Form.
  • Comply with all governing documents.
  • Conduct full inspection prior to closing.

Renting / Leasing:

  • Owners remain responsible for tenant compliance.
  • Tenants must be registered with the Association.
  • Owner/Tenant Information Form required.
  • Violations by tenants are the Unit / owner’s responsibility.
  • Owners must provide leases and or sign HOA amended paperwork as needed.

Pursuant to the Association’s Bylaws and governing documents, each Unit Owner is responsible for maintaining their unit and any exclusive-use or limited common elements in a clean, safe, and well-maintained condition. This includes ensuring compliance with all architectural standards.

Once the Association is notified that a unit is being offered for sale, a member of the Board will conduct an exterior inspection of the property. If any non-compliant items are identified—such as those outlined in the list below (which is not all-inclusive)—a formal violation will be recorded.

This violation will be made visible within the Association’s system so that all relevant parties, including realtors, closing attorneys, title companies, and other authorized parties, are aware of the compliance status of the unit.

As your unit is potentially being prepared for sale, lease, or transfer, the following applies: The Association will not release resale or closing documentation until the unit is brought into FULL compliance, including correction of all physical deficiencies and satisfaction of any outstanding financial obligations. Download the Resale Compliance List.

  • Windows: No damaged, boarded, improperly covered, or non-conforming exterior doors, screens, or windows.
  • Window Treatments: White undamaged blinds are required. Only white curtains may be visible from the exterior.
  • Window Screens: Must be installed and free of tears or damage.
  • Front Door: Must be a steel, white, six-panel door with no window. The Association will paint doors the approved burgundy color; no rotten frame or threshold.
  • Rear (Balcony) Door: Must be a sliding glass door.
  • Storm Doors: Must be full glass with trim limited to cream, black, or burgundy. No cracks in glass.
  • Awnings: Must be burgundy with white scalloped trim, clean, and free from damage, fading, or mildew. Board approval is required, and all awnings must be properly maintained.
  • Exterior Lighting: Must be operational and consist of approved fixtures.
  • Lattices / Exterior Components: Must not be broken, missing, or deteriorated.
  • Ground-Floor Gated Patios (if applicable): Must be present, structurally sound, and not rotted, damaged, or missing. These are homeowner-installed and are the owner’s responsibility.
  • External Attachments / Installations – No attached devices, satellite dishes, unapproved conduit, AC wiring, pipes, cables, antennas, cameras, lighting, or other exterior attachments without prior HOA approval.

Failure to resolve these matters will result in continued enforcement actions, may include fines, and will and may delay the resale, leasing, or closing process.
